Overview
Eventca helps hosts create event pages, collect registrations, send QR passes, check people in, and keep attendance records. This policy explains the information Eventca handles when hosts and guests use the service.
Information We Collect
For hosts, Eventca collects login email addresses, session information, event details, and messages sent through the app. For guests, Eventca collects registration details such as name, email, optional phone number, attendee count, attendee names when required by the host, answers to host-created registration questions, QR pass details, consent choices, registration edits, and check-in timestamps.
How We Use Information
Eventca uses this information to operate event pages, prevent duplicate registrations, send login and pass emails, support pass recovery, let guests update allowed registration details, show event stats, export registration and attendance records, preserve the answers submitted with a registration, and send email updates according to the audience selected by the host and the guest's unsubscribe choices.
Sharing
Eventca shares registration details, custom question answers, registration edit history where available, and attendance information with the host who owns the event. Eventca also uses service providers to run the app, store data, protect the service, and send email. Eventca does not sell guest information.
Email and Unsubscribe
Guests may receive registration passes, pass recovery emails, and updates about the event they registered for. If a guest chooses to receive emails about future events from the same host, the host may also send future-event updates. Update emails include an unsubscribe link when applicable. Unsubscribing stops update emails from that host, but it does not remove event records that the host needs for registration, check-in, attendance, or recordkeeping.
Cookies and Sessions
Eventca uses HTTP-only host session cookies with same-site protection. Session cookies are marked secure on HTTPS sites. Guests do not need an account to register or view a pass.
Pass Links
QR codes contain a pass link with a random pass code. The QR code itself does not include guest names, email addresses, phone numbers, custom question answers, or other personal registration details, but anyone with the pass link may be able to open the pass page and edit allowed registration details before check-in. Guests should treat pass links like event admission links.
Map Links
Some event pages may include a link to open the event location in an external map service. Eventca only opens that link when selected, and the map service may receive the location or search query needed to show the map.
Data Retention
Eventca keeps event, registration, custom question answer, email, unsubscribe, and check-in records for as long as needed to provide the service, support host attendance history, comply with obligations, prevent abuse, or resolve issues. Hosts may export event records, and exported copies are controlled by the host.
Requests
Guests can contact the event host to ask about their registration, update event details, or request deletion where possible. Some records may need to be kept for attendance history, security, or legal reasons. For Eventca account or service questions, contact the Eventca operator.
